Media Locker

Using The Media Locker

With the Backstage Media Locker you can upload and manage your photos and headshots, video and audio reels, and resumes and documents all in one place.

You can also control how to display your media elsewhere on Backstage by using the Media Locker to add and remove items from your profile; attach media to your applications; control your media item’s privacy settings; change the names and captions displayed with your media; and even crop and rotate your photos.

Getting around

Your Media Locker automatically includes all of the images, videos, audio clips, and documents that are displayed on your profile, plus any additional media items you choose to add. The first tab in the Media Locker displays your photos. You can switch to other media types by clicking the menu tabs: 

You can also search through your media using the search bar. Options include searching by keyword, and filtering by the settings associated with your media. For instance, you can filter your media to quickly see which of your files are included or not included in your profile:

Uploading Photos

To upload a photo, click the “+ Add New” button located at the top of the Media Locker: 

This will open the Media Locker Upload Manager:

If you’d like to upload a photo, you can drag and drop a file from your computer’s file directory (either Finder on Macs, or Windows Explorer) and drag it to the “drag here to upload” area. Or click “select file” and add a file from your computer’s file manager.

The Media Locker can host Gif, Jpeg, and PNG file formats, with a maximum file size of 10 megabytes.

Once your new file is uploaded, it will become viewable in your Media Locker. You will see your uploaded photo appear in the top left position:

Adding Video and Audio Reels

To add a video or audio reel to your Media Locker, paste or type in the URL of the media into the text field provided:

This will add the reel to your Media Locker.  Backstage.com accepts media from one of the following services:

For video:

  • Youtube
  • Vimeo

For audio:

  • Soundcloud

 

Viewability Settings

You can select between making your media items Public or Private, and decide which media items to include in your profile. You can also select a single item of each media-type to use as your primary (main/default) item.

Begin by clicking on a media item in your Media Locker gallery. This will open up an expanded view of your media item with more details:

In the top right corner of your media item’s expanded view, you will see your media’s viewability settings:

 

Simply toggle on or off each of these settings to:

Public/Private privacy

The Public setting allows your media to be viewable on the internet by anyone: Public items can be included on your profile, and you can share links to your public media items with other people. Public items can also show up in search engines like Google.

The Private setting keeps your media hidden: Private items are not visible on your profile and can only be viewed by the logged-in Backstage users you choose to share the files with. For instance,  you can share a private photo with a casting director by attaching the image to one of your casting notice applications.

In My Profile/Not In My Profile

By Selecting In My Profile, your media item will be listed in your Backstage Profile.

Note: This setting automatically changes your selected media item to Public, because only public media items can be shown on profiles. However, if additional privacy is needed, you can mark your overall profile as Private, which hides your profile from the Backstage Talent Database and requires users to log in before being able to view your profile.

If you select Not in My Profile, your media item will not appear in your profile.

Make Primary

Your profile will requires that you choose a Primary Photo, and you can also choose to also have a primary video, audio reel, and document (such as a resume).

Your Primary Photo will appear prominently on your profile, and a thumbnail version of the photo will appear in Backstage’s Talent Database and Casting Application Manager.

Note: You must select a primary photo to have a Backstage Profile. This photo is very important as it is the first image of you that casting directors see when using Backstage to cast their projects!

All other media types are optional.

Editing Your Photos

Backstage creates two versions of each image you upload. Both versions are important! You should edit each image to ensure you look your best:

  • Gallery Image: This is the standard format for displaying your Primary Photo on your profile. And this is the version of your photos that casting directors will see when they’re looking through your gallery of photos in your profile and casting call applications and in the Talent Database.
  • Thumbnail Image: This squared version of your photo is how your images appear in the sidebar of your profile. The thumbnail version of your Primary Photo is also used as the first image casting directors see when they receive a message from you and when they find you in the Talent Database and when they receive a casting call application from you. (Note: You can create thumbnail versions of all of your photos, but it’s especially important to create a good thumbnail for your Primary Photo.)

To edit a photo, click on one of your photos to expand the media editor:

Here you can rename your image, edit your images, and adjust your images’ privacy and viewability settings.

Choose which version of your image you’d like to edit by clicking on either the Gallery Image or Thumbnail Image tabs.

We recommend you edit both to look your best:

To edit your image, click the Edit Image button beneath your photo. This will open the Image Editor:

Here you can select one of the buttons at top to crop your image, rotate it, zoom in, or zoom out. You can also drag the cropping/resizing grid across your photo to choose exactly what section of your photo you’d like to display. Save your changes when finished.

Note: Images cannot be edited while in “Private” mode, as they are in a secure state. If you need to edit a private image, first change it to Public status (you don’t have to include it in your profile at all, just temporarily turn off the privacy option), then edit it, save your changes, and then switch it back to Private.

Attaching Media to an Application

You can customize each of your applications with a combination of photos, videos, audio clips, and documents, plus a cover letter. And sometimes you may even want to attach more media to an active application for a project that you already recently applied to.

Note: All of the media items that are displayed on your profile are also automatically included in all of your casting call applications by default, unless you've customized an application with specific media items. So the option to attach additional media to an application is primarily useful when you have a file in your Media Locker that isn’t part of your profile, but that you want a particular casting director or production to see.

To attach additional media files to an application, you can select the media items (such as additional photos) during the application process by clicking the "Add" button -- this will let you upload a new media item, or select an existing media item from your Media Locker (via a pop-up modal in the application process).

Plus, if you visit your My Applications page, you can view and update your existing applications too.
